Wedding Details
Every wedding – no matter how large or small – involves many details to be looked after.  To make your planning easier, we have compiled this list of items you may not have considered in the excitement of creating your special day.  Other questions are answered in the FAQ section.  Of course, your dedicated wedding specialist is on hand to answer any other questions or concerns you may have. 

Seating arrangements and room set-up –
Most rooms can be set up to match your plans. We offer flexible seating ranging from eight to 12 guests per table.


Dance floor and risers - These are fully mobile and adaptable to your specifications.


Ceremony Room –
Hyatt Regency Tamaya Resort & Spa can create a ceremony room set in round or chapel style, if needed.


Order of Events
– From traditional to your own unique vision, allow your wedding specialist to assist you in deciding the flow of your day.


Audio-visual equipment –
Our onsite audio-visual experts can help you execute your ideas, from a slide show to special lighting.


Ice Sculptures –
Our team of culinary experts can create an ice sculpture to match your theme, from simple to the most elaborate ideas.


Parking –
Complimentary valet or self-parking is offered for your guests for the event.


Guest rooms
- Special room rates are available for out-of-town guests.  Rooms and rates are subject to availability. A complimentary Bridal Suite for the bride and groom is included in each wedding package for the night of the event.



Wedding Cake – Our pastry chef can create the cake of your sweetest dreams.  Please contact your wedding specialist for details on our cakes and pastries.


Gold Passport - Hyatt Gold Passport points are awarded for all food and beverage purchased for your wedding at Hyatt Regency Tamaya Resort & Spa. Two points are awarded for each dollar spent for all events starting after 5 p.m. Every 8,000 points earned allows one overnight stay to be used at a later date.


Pricing
- All food and beverage must be catered through the Hyatt Regency Tamaya. A 21% Service Charge will be applied to all food and beverage items. Sales tax, currently 6%, will be added to all food prices and miscellaneous fees. Taxes are subject to change without notification. a non-refundable advance deposit of 20% of the total event fee is required along with a signed copy of the Catering Contract. Payment in full is required prior to your event. When paying by personal check, payment must be received no later than 10-business days prior. If paying with a cashier’s check or credit card, payment is due no later than 3-business days prior. A completed credit card authorization form is required to be on file for any charges in excess of the estimated amount. Our menus and pricing are subject to change without notice until a final contract is signed. A credit card must be kept on file for any overages and/or incidental charges following the event.


Guarantee
- A final number of guests is required three business days prior to your event. This number is your guarantee and may not be lowered. The hotel will prepare meals for 3% over the guaranteed count. Final charges are based on your guarantee or actual attendance, whichever is greater.


Wedding Tips from our Catering Manager
Ashley Armstrong, catering manager for the Hyatt Regency Tamaya, has several tips on planning a party, making it less stressful and lots of fun. According to Ashley,

Preparation
Plan in advance.  Don’t let the last minute details get you down.  Determine which aspects of your party are the most important to you and be sure to have those taken care of well in advance.  

Ask for Help
Parties are a time for giving and sharing, and this applies to the party you’re hosting as well.  

Do what inspires YOU
Don’t try to please the masses, do what makes you happy.  

Entertainment
Whether you’re throwing a party for 5 or a party for 500, think about the type of music or entertainment you’d like to incorporate.  Will your party be cocktails and mingling, warranting upbeat holiday tunes?  Are you hosting a sit down dinner deserving a lower volume conducive to dinner conversation?  Do you have guests ranging in age that may enjoy a holiday movie or puzzle?  

Don’t Forget the Little Ones
Children enjoy the holidays more than anyone, so if your party is appropriate to invite guests of all ages be sure to have some entertainment for the little ones too.  

Décor
You can decorate well in advance.  Don’t be afraid to dive in and get it done, it will be one less thing to worry about the day of your party.

Scents

A light scent can help set the mood from the very beginning.  The Hyatt Regency Tamaya uses a scent of cedar and pine throughout the resort to inspire tranquility and a sense of the resort’s surroundings.  Finding a soft scented candle or light incense can evoke festive moods and inspirations for cuisine

Menus and Serving
If you are not utilizing a caterer, be sure to keep the menus simple and geared towards food that can be prepared ahead of time, helping you to avoid last minute messes in the kitchen.  If you’re planning an open house with guests arriving at varying times, be sure to select items that will hold well and be delicious throughout your event.  

Favorite Recipes
Hors d’oeuvre recipes can be prepared easily and ahead of time. Remember to keep it simple and fun.
